ChiroUp’s Voice Dictation feature converts spoken words into text, helping users quickly create documentation and communications. Unlike Voice to Chart, Voice Dictation is not designed to record patient conversations. Users manually activate the microphone and control where the text is inserted.

Data Security and Privacy

• Voice Dictation audio is temporarily processed through encrypted systems designed to support HIPAA compliance and appropriate security safeguards, converting speech into text.
• ChiroUp maintains Business Associate Agreements (BAAs) with Deepgram and OpenAI, which process dictation data to provide transcription and generate the cleaned-up text displayed to the user.
• Audio recordings and transcription data are not stored by ChiroUp after processing.
• The final text is inserted into the location selected by the user, such as a SOAP note, patient message, internal message, or other text field.
• Voice Dictation is activated only when the user manually turns on the microphone. It does not passively monitor conversations or capture audio when the feature is not activated.

HIPAA and Appropriate Use

• Users are responsible for following applicable HIPAA requirements when entering protected health information.
• Users should dictate only the information necessary for the intended purpose, and are responsible for reviewing dictated text for accuracy before saving, sending, or incorporating it into the healthcare record.
• Voice Dictation should not be used to record patient conversations unless the user has obtained any required consent or authorization under applicable laws.
• When using Voice Dictation, be mindful of your surroundings. Because the microphone captures spoken words while activated, avoid using the feature in situations where unintended conversations or confidential information may be captured.

AI and Data Usage

• Audio and transcription data are used only to provide speech-to-text functionality and related processing necessary to deliver the feature.
• Audio and transcription data are not used to train AI models.
• Voice Dictation does not retrieve or analyze patient information from ChiroUp records. Information included in dictated content is provided by the user.
