If you’re using integrated payment processing through NCMIC, you have the option to save a patient’s credit card on file for future visits.
You can either save the card during payment by selecting the Manual Entry option, or you can save it ahead of time without processing a charge. This article will walk you through both methods.
How to save a card on file during payment
1) When taking a patient's payment, select Credit Card as the Payment Type.
2) Select your terminal, and ensure Save payment method? is checked.
3) If you're tapping, inserting, or swiping the card, click Collect $ payment. This will wake your credit card terminal for payment. After the patient taps/inserts/swipes, their card will be saved on file.
Alternatively, if you would like to process the card via manual entry, click Select or Enter Card. Then, a drop down will appear that shows any already saved payment methods and the option to Add Card. To save a new card on file, click Add Card and proceed with entering payment details.
Check Save this card for future use.
4) Click Save. This will charge the card and save the payment method on file.
How to save a card on file before payment
1) In the patient's record, navigate to the Transactions tab and then to Payments.
2) Click Payment Methods.
3) Click Add Payment Method.
4) Enter cardholder details and click Save.
5) The patient's credit will now be saved on file for future use!
Note!
Patients may see a $0.01 pre-authorization transaction on their card for a short time. The card will not be charged until your clinic initiates a charge.
The required pre-authorization to save a card on file will incur the standard transaction processing fee.
How to charge a card that is already saved on file
1) When taking payment, select Credit Card as the Payment type.
2) If a card has been previously saved on file, then it will be available to charge.
3) Click Collect to charge the card.
💡Pro tip:
- Cards cannot be saved when they are physically swiped/inserted/tapped on the terminal.
- Patients have the option to upload their card to be saved on file when scheduling online.
