Switching EHRs is a big deal! When you switch your EHR, it definitely takes time to adjust and learn a new way of doing things for your team (but don't forget that ChiroUp is here to help along the way!)
It is important to remember that there may be an adjustment period for your patients as well. We've outlined below how you can get a head start now on setting patient expectations as you embark on making the switch to ChiroUp EHR!
1. Appointment reminders come from a new number!
Your patients are used to getting their appointment reminder texts from a certain number. Since you're making the switch over to ChiroUp EHR, these reminder texts will start coming from a new phone number. Give your patients the heads up so that they don't miss those reminders… or their appointment!
The new number patients can expect to receive reminders from is: (206) 984-7049
2. Check-in process has changed!
With ChiroUp EHR, patients will be checking in for their appointment and completing surveys on the kiosk. This is likely a new process for your patients!
3. Completing surveys!
Another new change for patients is that they will now be completing surveys before each appointment. They will be able to complete their Chief Complaint Survey from home before their appointment since that is sent 24 hours in advanced of their first appointment. However, they will subsequently be completing the interim and re-exam surveys upon check-in. This is a brand new process for your patients, and it may feel frustrating at first. It is important to remind patients that once they complete the survey, that will save time in the treatment room. Their doctor will have all the information about their condition before they even step into your treatment room- which makes for a great experience and saves everybody time.
4. Credit cards are no longer on file!
If your patient had their credit card saved on file in your previous system, you will need to re-save their card on file in ChiroUp. Remind patients ahead of time to bring in their card so that you can run payment for their visit and save the card for next time (if using our NCMIC payment processing integration).
5. Insurance policies need to be added!
Insurance policies do not come over in the data migration, so you may need to request insurance information again from your patients. Luckily, ChiroUp makes it easy with insurance survey!
