Manually entering an individual ERA

If you receive a paper remittance (ERA) in the mail and need to enter those details into ChiroUp, you can follow the process for manually entering an ERA. This article will walk you through how to enter an individual response (one patient, one date of service). If your ERA contains remittances for multiple patients or dates of service, you'll want to follow the process for manually entering a batch ERA


Here's how to manually enter an individual ERA response: 

1. Navigate to the Billing tab located in the left-side panel. Select Claims

You can only upload ERAs for claims in the Submitted or Received status, so select the Submitted (or Received) status filter. 


 

2. Select the claim that corresponds with the ERA you have to upload. (hint: use the filters at the top to more easily navigate to the specific claim). 

This will open up the claim screen. 

3. Click the ERA button at the bottom of the claim screen.

 

4. Start by entering the Payment Information

  • Remit Amount: the total payment amount received
  • Payment Method: how you received the payment
  • Remit Date: the date the payment was received (this is the date that this payor payment will show on your Payment Collection Report)
  • Check Number: the number on the check, or any number that identifies the payment
  • Processed Status: the status that indicates how the remit was processed

 

5. Next, enter adjustments for each service line.

ChiroUp will automatically fill in some details for you, such as the Allowed Amount from your Billing codes database. It will also populate your first adjustment (CO) with the difference between the Billed Amount and the Allowed Amount in the Amount field.

Enter the amount paid for each specific code into the Paid field. When you do so, ChiroUp will auto-populate your next adjustment group with the amount that is the difference between Paid and the CO Adjustment Amount

Enter your Group Code for the second adjustment group (likely, PR for Patient Responsibility), the reason code (likely, deductible, coinsurance, or copayment amount), and then confirm the amount for that group code. 

💡Pro tip: ChiroUp will not allow you to save your ERA if the entire billed amount is not accounted for. The Paid amount + Adjustment amounts must equal the Billed amount. You'll know everything is accounted for each service item when the box turns green. 

 

6. Repeat for each service code on the claim. 


7. After entering payment and adjustment amounts for each service, review the Balance Summary. Click Save & Process. 

 

8) The claim status will change to Paid. You can then proceed with posting this ERA.
