Assigning a Supervising Provider

Assigning a supervising provider to a rendering provider allows encounters and/or purchases to be handled under the supervisor’s name, while the rendering provider maintains their own schedule availability. This enables the Supervisor to sign notes and/or bill under their own name and NPI.

Here is a breakdown of what it means to have supervision assigned in ChiroUp: 

  • Billing Supervision:  When a Billing Supervising Provider is assigned, all billing is processed under the supervisor's name. They will appear as the billing provider on billing reporting, purchases, invoices, superbills, and claims. The supervisor's rendering NPI will populate Box 24j on the claim form.
  • Encounter Supervision: When an Encounter Supervising provider is assigned, the Supervising Provider will sign the SOAP Notes. 

In this article, we will walk through how to set up supervision in your clinic. We will set a default supervisor, but a Supervisor can be changed on a per-patient basis as well. 


Here's how to assign a default  Supervising Provider: 

1) Navigate to the profile icon in the top right corner and select Clinic settings.
 

 

2) Navigate to the Users tab. 

3) Locate the rendering provider to whom you’d like to assign a supervising provider and click Billing within that provider's row. 

 

4) Select the supervising provider you’d like to assign to the chosen rendering provider. Indicate whether you are assigning billing supervision, encounter supervision, or both. 

Reminder: 

  • Billing supervision means billing activity is tracked under the supervising provider’s name, and the supervising provider is listed as the rendering provider on claims.
  • Encounter supervision means the supervising provider will sign the supervisee's notes. 

If a provider requires supervision only for certain treatment types (appointment types), then you can designate which treatments the provider requires supervision for here under the Supervised treatments field. 

5) Remember to hit Save! 


🌟 Here's how to update the Supervising Provider on a per-visit basis: 

If a provider has a default supervisor set, then that default supervisor will populate by default, however, you can update the supervisor on an encounter/purchase on a per-visit basis. 

🌟 To update the supervisor for a provider with ENCOUNTER Supervision: 

Navigate to the encounter and click the current supervisor’s name. Then, select the provider you want to assign as the supervisor for this visit.

If the supervisee also has Billing supervision enabled, updating the Encounter supervisor will automatically update the Billing Supervisor. 

 

 

🌟 To update the supervisor for a provider with BILLING Supervision: 

Navigate to the purchase and open the drop-down for Billing Provider. Then, select the provider you want to assign as the supervisor for this visit.

When Billing Supervision is enabled, the Billing Provider is the Billing Supervisor. The Encounter Provider is the supervisee. 

If the supervisee also has Encounter supervision enabled, updating the Billing supervisor will automatically update the Encounter Supervisor. 

 

 

 

🌟 To update the supervisor for a provider with both BILLING and ENCOUNTER Supervision: 

A supervisee can only have one supervising provider per visit. If you update either the Billing Supervisor or the Encounter Supervisor, the other will automatically update to match.

Navigate either to the encounter and update the Supervised by field or navigate to the purchase and update the Billing Provider field to update the visit Supervisor. 


💡Pro tips: 

  • The rendering provider (supervisee) will still have schedule availability. The associated encounter and/or purchase will be under the supervising provider's name. 
  • Compensation for purchases are tracked under the billing supervising provider, if there is one set.
  • Appointment reporting will remain under the rendering provider (supervisee). 
  • If you have an intern who will have schedule availability, but you will be signing notes and billing from your name, you should assign yourself as the intern's supervising provider and indicate that you will supervise encounters and billing.
  • In order to update a supervising provider per visit, the rendering provider (supervisee) must have default supervision set.
