As part of setup, populate your payor database with all the payors accepted by your clinic. This step is crucial before adding patient insurance policies, filling your billing code database, and generating insurance claims.
Here's how to populate your payor database:
1) Navigate to the profile icon in the top right corner and select Databases.
2) Then, navigate to the Payors tab.
3) Click the +Add button.

4) Enter payor details.

- Remember to enter a physical address for all paper payors & a Payor ID for electronic payors!
- Select the corresponding insurance program for the payor (common insurance programs you may use are Commercial, Medicare Part B, Works Compensation, and Other Non-Federal. Be sure to select the program type that best describes the payor!)
5) Indicate whether this payor is billable and, if so, whether they support electronic billing, send claims to a secondary, or are in network.
- Billable payors are those you will submit claims to. Most payors you enter will be billable. Common non-billable payors include CHUSA and Self-Pay/Cash. Learn more about Non-billable payors here.
- Electronic billing will generate electronic claims for this payor. Leave unchecked to generate paper claims for this payor.
- Sends to secondary indicates whether this payor forwards to the secondary payor directly.
- In Network indicates whether the payors are in network. Leave unchecked for out-of-network payors in order to enable courtesy billing.
- Internally Billed is helpful if you use a third-party billing company but still manage certain payors in-house. Enabling this option allows you to exclude payments those payors from the Compensation Calculator report, ensuring you're only calculating numbers for policies billed by the third-party billing company.

6) Repeat for each payor that you accept!
